We believe that privacy is a right. We want to empower our users to be the masters of their identity. In this privacy policy, we want to help you understand how and why we  collect, use, and share information about you when you use our site or when you otherwise interact with us or receive communication from us.

Any data we collect is used primarily to provide our services, which are focused on allowing people to come together and form a community. If you have questions about how we use your data, you can always ask us for more information.

1. Data Collection

We collect personal information from you when you join the community or participate in community activities. This information may include your name, email address, and other contact information.

We collect the content you submit to the Community. This includes your posts and comments including saved drafts, audio and videos you broadcast, your messages with other users (e.g., private messages), and your reports and other communications with moderators and with us. Your content may include text, links, images, gifs, audio, and videos.

We collect information about the actions you take when using the Community. This includes your interactions with content, like voting. It also includes your interactions with other users, such as following, friending, and blocking.

2. Consent

By agreeing to these terms and conditions, you consent to the collection, processing, and storage of your personal data as outlined in this privacy policy.

3. Data Processing

We will process your personal data for the following purposes:

a. To provide you with access to our community website and its features

b. To communicate with you regarding your account and any community activities

c. To improve our community website and its features

d. Personalize services, content, and features that match your activities, preferences, and settings.

e. Help protect the safety of our users, which includes blocking suspected spammers, addressing abuse, and enforcing our other policies;

f. Provide, optimize, target, and measure the effectiveness of ads shown in the Community;

g. Research and develop new features;

h. Send you technical notices, updates, security alerts, and other support and administrative messages;

i. Provide customer service;

j. Communicate with you about events, and provide other news and information we think will be of interest to you; and

k. Monitor and analyze trends, usage, and activities in connection with the community.

4. Third-Party Services

We may use third-party services to collect or process your personal data. We may share information with service providers who need access to such information to carry out work for us. Their use of personal data will be subject to appropriate confidentiality and security measures. For example: cloud providers who host our data and our services.

5. User Rights

You have the right to access, rectify, delete, restrict, or object to the processing of your personal data.

You can access your information and change or correct certain information through the community. You can also request a copy of the personal information the community maintains about you. You can submit a request to delete your account. When you delete your account, your profile is no longer visible to other users and disassociated from content you posted under that account. Please note, however, that the posts, comments, and messages you submitted prior to deleting your account will still be visible to others unless you first delete the specific content. You may exercise these rights by contacting us at hello@joyandorder.co.uk. You also have the right to lodge a complaint with a supervisory authority if you believe that your data has been processed in violation of GDPR.

6. Data Breaches

We take measures to help protect information about you from loss, theft, misuse and unauthorized access, disclosure, alteration, and destruction. In the event of a data breach, we will notify you as soon as possible and take steps to mitigate any damage caused.

7. Legal Basis

We will only collect and process your personal data if we have a legal basis to do so. This may include your consent, a legitimate interest, or a legal obligation.

2. Online Community Code of Conduct Example

Thank you for participating in Connect, your private online community that allows users to ask questions, share knowledge, and collaborate within the professional community.

By participating in Connect Open Forum and discussion groups you agree that you have read, understand, and will adhere to this Code of Conduct. The organization reserves the right to delete posts and/or terminate Connect access for individuals who violate these terms.

Important! Referrals and suggestions provided in Connect Open Forum and groups are based on member-to-member professional courtesy and are not considered an authoritative source. Members must perform their own due diligence when pursuing referral contacts, technical advice, and professional assistance.

Please do:

  • Use the online community to ask questions, share knowledge, collaborate, and for the benefit of yourself and your business, and to help others.
  • Search before posting a question, as your question may have been answered already.
  • Include your name and affiliation in all postings.
  • Be polite, respectful, and professional in your posts and replies.
  • Use the Reply Privately option to respond to an individual directly.
  • Use the Reply to Group option to respond to everyone in the Group.
  • Give credit where credit is due by citing your sources.
  • Use caution when discussing products as information posted on any platform is available for all participants to see, and your comments may be subject to libel, slander, and antitrust laws.
  • Report any inappropriate postings you find within the community to communications@sengii.com or call ….

The following are prohibited – Do not:

  • Post unnecessary messages to the whole group. Instead, send appreciative notes directly to an individual rather than posting to the whole group.
  • Post or send inappropriate or unprofessional messages or materials. All defamatory, obscene, offensive, abusive, profane, threatening, or illegal posts, content, and materials are strictly prohibited and will be removed.
  • Post any information or material protected by copyright without permission of the copyright owner. By posting material, you warrant and represent that you own the copyright or have received permission from the copyright owner.
  • Share client information that violates Rule 301, Confidential Client Information, of the AICPA Code of Professional Conduct. Do not share beyond what is available to the public, or that the client has agreed may be disclosed. This would apply even in cases where the client’s name is not given.
  • Discuss fees and costs of third-party commercial products and services.
  • Advertise or promote continuing professional education (CPE) programs not affiliated with our organization..
  • Advertise services, solicit business, or post other promotional or sales messages. This includes, but is not limited to, products/services, job postings, firm/business acquisitions, etc.

Our organization will:

  • Create new forums as requested when there is sufficient interest by members.
  • Monitor forum postings and respond to user complaints about specific postings.
  • Remove a posting if it violates the code of conduct.
  • Remove a posting if requested to do so by the member who posted.
  • Remove a member from a forum who continues to violate the code of conduct after receiving a warning.
  • Occasionally display, copy, publish, and distribute information posted within the forums for the purposes of marketing and encouraging members to participate in the online community.

Our organization does not:

  • Moderate postings.
  • Pay for postings or other content on Connect
  • Review postings for technical accuracy

Legal Terms

Any views or opinions presented in postings on the Connect online community and group discussions are solely those of the author and do not necessarily represent those of the organization. In no event shall the organization be liable for any special, indirect, or consequential damages whatsoever resulting from loss of use, data, or profits arising out of or in connection with the use of the online community service or information posted by members.

You hereby release and waive any and all claims and or liability against the organization arising from or in connection with your use of the online community. You also agree to defend, indemnify, and hold harmless the organization from and against any and all claims or liability, including costs and attorneys fees, arising from or in connection with your use of the online community or any postings by you on the site or your failure to abide by applicable law.

3. Community Rules and Etiquette

Thank you for being part of our community. To ensure the best possible experience for all Connect members, we have established some basic guidelines for participation. Please take a moment to acquaint yourself.

By joining and using this community, you agree that you have read and will follow these rules and guidelines. You also agree to reserve discussions, shared files, and content that is best suited for this medium. We hope you will take advantage of soliciting the advice of your peers, benefiting from their experience, and participating in ongoing conversations.  As you become acquainted with the system there are two forms of support. For broad questions contact the membership team at Contact Us. Technical issues can be addressed through the Help Desk.

The Rules

  • Messages should focus on <major topic(s)> in accordance with the organization’s vision and mission(link to org’s mission).
  • <The organization> is a membership organization representing multiple dimensions of informatics professionals and participants should respect the unique professional roles of each person involved in the organization
  • Do not challenge or attack others. Discussions and comments are meant to stimulate conversation not to create contention. Please be considerate of your colleagues and let others have their say, just as you may.
  • Do not post commercial messages; job postings; advertisements and announcements for non- membership associations/societies, conferences, education products, and journals..." on any discussion list, resource library entry, or other area where others might see it.  Personal outreach may be made if the information would benefit others. For promotional opportunities please contact the organization’s staff to obtain information about purchasing advertising or to post a job.
  • Use caution when discussing products. Information posted on the lists and in the libraries is open access, and comments are subject to libel, slander, and antitrust laws.
  • All defamatory, abusive, profane, threatening, offensive, or illegal materials are strictly prohibited. Any post could be shared outside with others.
  • Please note carefully all items listed in the disclaimer and legal rules below, particularly regarding the copyright ownership of information posted.
  • Remember that other participants have the right to reproduce postings to this site unless you specify otherwise.
  • Post your message or documents only to the most appropriate lists or libraries. Do not spam several lists or libraries with the same message. All messages must add to the body of knowledge. The org reserves the right to reject or remove any message for any reason at any time.

Discussion Group Etiquette

  • Include a signature tag on all messages. Include your name, affiliation, location.
  • State concisely and clearly the topic of your comments in the subject line. This allows members to respond more appropriately to your posting and makes it easier for members to search the archives by subject.
  • Include only the relevant portions of the original message in your reply. Delete any header information and put your response before the original posting.
  • Only send a message to the complete list when it contains information that all can benefit from.
  • Send messages such as "thanks for the information" or "me, too" to individuals--not to the complete list. Do this by using the "Reply to Sender" link to the left of every message.
  • Do not send administrative messages, such as remove me from the list. Instead, use the web interface to change your settings or to remove yourself from a list. If you are changing e-mail addresses, you do not need to remove yourself from the list and rejoin under your new e-mail address. Simply change your settings.
  • Warn other list subscribers of lengthy messages either in the subject line or at the beginning of the message body with a line that says, "Long Message."

To preserve a climate that encourages both civil and beneficial dialogue, we reserve the right to suspend or terminate membership in this community for anyone who violates these rules.

 

Connect Member Directory

The member directory is provided to connect you with other community members.  You may choose what is visible in the member directory to others by visiting your profile page and navigating to “My Account.”  

 

Per our Privacy Policy and Community Rules & Etiquette, members may not download, scrape, mine or otherwise use the information, including member contact information, for any commercial or non-commercial purpose.  Members caught abusing the directory will have their access revoked.

Turn on GDPR compliance

  1. To setup your Privacy Policy/ Code of Conduct/ Terms & Condition or whatever agreement you would like the member to accept before accessing the community go to Admin> Organization> Manage Settings> Settings> Privacy Policy; change from Default to GDPR.1
  2.  Create a template in Admin> Custom Content> Content Areas> New Template

Give your template a Name and Title (will display on /my/privacy header).

Type or paste your text in the body.

  1. In Admin> Organization> Manage Theme> Content> go to Terms & Conditions to set your template. Save.

You can find this page by replace your community subdomain  community.domain.org/my/privacy

or from the homepage, on the top navigation click on your picture or name and select Privacy Policy.

  1. The final step is to set every member as not having accepted the terms. In Admin> People> Select in bulk and Bulk Apply options. Set Terms to Not accepted and save.

Or you can also go to Organization> Setup Defaults> Person Defaults> Terms & Conditions= Decline and save.
