Community onboarding process

Steps to Launch

Thank you for choosing Sengii for your online community or events solutions.

At this point, you should have received a custom proposal for your organization. There is no precise timeline for implementation. We can go from zero to launch in one month with full commitment on both sides. It can sometimes take up to three months if unexpected delays occur. To ensure that all goes according to plan, it is important to have the support of your IT team and AMS provider.

Before and during implementation.

  1. Go to your proposal and click View Quotation to see the project summary and a breakdown of the setup fees.
  2. Read and sign the Master Service Agreement.
  3. Pay the integration invoice. After the setup fee is paid, we can begin your integration.
  4. Complete the Online Community Setup Form, located in your quotation package. This questionnaire outlines your specific requirements for the system. This is very important to begin integration.
  5. Within a week your team will receive an email with DNS records. The new community requires DNS records for sending and receiving emails and web access.
  6. When the records are created, the installation and integration will begin. The precise timing is dependent on feedback and the scope of the customizations/changes. It can take a couple of weeks to a month.
  7. We will revise the community aesthetic (logo, colors, layout) to your organization’s preference.
  8. Initial review by you of the data/aesthetic for the community. The time for this can vary depending on how many changes your team requests.
  9. Launch testing groups/committees for initial feedback. This normally takes two weeks to a month.
  10. Onboarding and training of your staff. Testing and onboarding can go hand in hand. It normally involves one or two sessions (of at least an hour each).
  11.  We recommend a two-phased release in most cases:

Phase 1: pilot launch

The first phase is a soft launch which includes one or more pilot groups to get initial feedback and review the installation. This can last from one week to however long your team needs for training and testing.

Phase 2: full launch

The second phase is to create an Open Forum discussion group and launch to your full membership. Monthly billing will begin.
